AICONIQ Events (“we”, “our”, “us”) is an educational and event-management company headquartered in Tallinn, Estonia.
We specialise in event strategy, training, and coaching for entrepreneurs and event professionals under our EPIC Event Framework™ and AICONIQ Academy brands.
By visiting our websites or using our services (including workshops, courses, digital downloads, and coaching sessions), you agree to these Terms of Use and our Privacy Policy.
By accepting these Terms of Use, you also consent to the processing of personal data in accordance with the Processing Regulations.

Aiconiq OÜ (d/b/a AICONIQ Events) – details above. We determine purposes and means of processing when you visit our site, register for training/events, purchase digital products, or otherwise interact with us.
4.2 What Personal Data We Collect

4.6 Retention Periods

Communication records: 1 year after resolution.

Event/course participation data: 3 years after last interaction.

Billing & accounting records: 7 years (statutory).

Supplier/partner data: up to 5 years after cooperation ends.

Data no longer required is securely deleted or anonymized.

Right to correction, erasure and restriction
You can ask us at any time to correct inaccurate data, complete incomplete data, or delete your personal data, unless legal or contractual obligations require us to keep it.
If you restrict or refuse the processing of certain data, some services or products may become unavailable.
Right to object

Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

8. Accounts, Access & Passwords
Certain areas of the AICONIQ Events website and its learning or booking modules may require user registration.

AICONIQ Events may from time to time use AI-driven tools and automated systems to enhance its services or provide users with optional AI-based features, such as content generation, learning assistance, analytics, or customer-experience optimization.
When you interact with these tools, we may collect non-personal telemetry and diagnostic data (for example, feature usage frequency, anonymized error logs, or performance metrics).
This information helps us monitor quality, improve functionality, and develop new features.
All aggregated or anonymized analytical data generated through such usage remains the exclusive property of AICONIQ Events, and may be used at our discretion for legitimate business purposes, including research, product improvement, and AI-model training.
By using our AI-driven tools, you consent to the processing of:

data you voluntarily provide while using these tools (for example, text inputs or uploaded non-personal files).

11. Comments, Reviews & Community Conduct
When you post comments, reviews, photos, or any other material on the AICONIQ Events website or related platforms, you remain solely responsible for the content you share and for any consequences arising from it.
This also applies to information you submit through our contact forms or share with partners via our platform.
11.1 Acceptable Behaviour
You agree not to post or transmit any content that is:

If you choose to share such information publicly, you do so at your own risk. AICONIQ Events is not responsible for any unwanted communications or spam you may receive as a result.
11.3 Authentic Reviews
You confirm that any review you submit:

is independent, with no personal or financial connection to the business or individual reviewed;

can be substantiated if requested (e.g., with proof of participation or invoice).
AICONIQ Events maintains a zero-tolerance policy toward fake or misleading reviews and may suspend or delete accounts found to be in violation.
11.4 Prohibited Promotions & Advertising
You may not use our website or contact forms for advertising, commercial solicitation, or promotion of products or services without prior written consent from AICONIQ Events.
Contact forms for event venues or training requests may only be used for their intended purpose—such as obtaining quotes or information—not for general promotion or unrelated messaging.
11.5 Copyright & Image Rights
You may post only content for which you hold the copyright or have obtained explicit permission to publish.
This includes photos, images, and visual elements that appear automatically when sharing links.
Posting photos of other people or companies without their consent is strictly prohibited.
11.6 Moderation & Enforcement
AICONIQ Events may moderate or review user-generated messages after publication.
We reserve the right, at our sole discretion, to edit, hide, or remove any content that is deemed unwanted, inappropriate, unauthorised, or inconsistent with these Terms or applicable law.
In serious or repeated cases, AICONIQ Events may restrict or terminate your access to commenting or reviewing features.
12. Limitation of Liability & Availability
The AICONIQ Events website and all services offered through it are provided on an “as is” and “as available” basis.
While we take great care to maintain accuracy, functionality, and reliability, we make no express or implied warranties regarding:

AICONIQ Events is likewise not liable for any loss or damage arising from the removal, moderation, or non-storage of such content.
12.1 Service Availability
AICONIQ Events strives to make its website and tools accessible 24 hours a day, 7 days a week.
However, due to the technical nature of online services—including the need for maintenance, updates, and external hosting dependencies—uninterrupted access cannot be guaranteed.
Temporary interruptions, slowdowns, or service errors (for example, due to server failure, software bugs, malware, or external attacks) are inherent to Internet-based systems and shall not constitute a defect or grounds for compensation.
We will act promptly to restore service in justified cases of interruption or suspension.
AICONIQ Events is not liable for cancellations, delays, or data loss caused by such technical events, nor for any direct or indirect damage to third parties regardless of cause.
12.2 Moderated & Third-Party Content
We moderate articles, news, and user submissions to the best of our ability.
However, the responsibility for published content lies with the author or contributor.
All such content is offered without guarantee of accuracy, completeness, or compliance with third-party rights.
AICONIQ Events does not warrant that posts, reviews, or articles are free from infringement or errors.
If you believe that any content violates applicable law, infringes rights, or conflicts with public order, please contact us immediately at privacy@aiconiqevents.com so that we can take appropriate action.
To the fullest extent permitted by law, AICONIQ Events’ total liability for any claim related to website use, content, or service availability shall not exceed €100 per incident, except in cases of fraud or deliberate misconduct.
13. Refusal or Termination of Access
AICONIQ Events reserves the right, at its sole discretion, to deny, suspend, or terminate a visitor’s or user’s access to the website or any of its services at any time, without prior notice, if deemed necessary to protect the integrity of the platform or the interests of other users.
Access may be refused or withdrawn, including but not limited to the following circumstances:

Such actions shall not entitle the user to any form of compensation or refund.
14. Force Majeure
In the event of force majeure, AICONIQ Events shall not be held liable or required to fulfil its obligations, nor shall any delay or failure to perform constitute a breach of contract.
In such circumstances, AICONIQ Events may suspend its obligations for the duration of the event or, if performance becomes permanently impossible, terminate the contract without liability.
Force majeure refers to any circumstance beyond the reasonable control and will of AICONIQ Events that prevents, delays, or substantially hinders the performance of its obligations, in whole or in part.
Such circumstances may include, but are not limited to:

natural disasters, fire, or flooding;

strikes, lockouts, or labour disputes;

power failures or utility interruptions;
-
operational or technical breakdowns, server or system errors, or network outages;

(D)DoS attacks, hacking, or cybersecurity incidents;

pandemics, epidemics, or governmental restrictions;
-
unavailability or failure of telecommunications, internet, or third-party hosting systems;
-
and any other event of comparable nature beyond AICONIQ Events’ reasonable control.
AICONIQ Events will make every reasonable effort to mitigate the consequences of such events and to restore service as soon as reasonably possible.
15. General Terms and Conditions of Sale

Images and descriptions serve illustrative purposes and do not create binding commitments.
Errors or omissions are possible; AICONIQ Events reserves the right to correct them without obligation to deliver in the case of obvious mistakes.
Prices displayed online include VAT unless stated otherwise. Prices for business-to-business services (e.g., workshops for companies or advertising opportunities) are shown exclusive of VAT.
All offers are valid as long as they appear on our website or for the period indicated in the offer materials.
15.2 Orders and Agreement
A binding contract is concluded when AICONIQ Events confirms receipt of your order by email or through the website interface.
We may refuse an order or attach conditions (such as pre-payment) in justified cases, including large orders, prior non-payment, or suspicion of misuse.
15.3 Prices and Payments
Prices remain valid during the indicated offer period, except for adjustments required by VAT changes or applicable legislation.
All prices are shown in euros (€) and include VAT where applicable.
Payments are processed securely through trusted third-party providers such as Stripe or PayPal.
All transactions are encrypted using SSL technology to protect your personal and payment data.
AICONIQ OÜ does not store or have access to your full credit card or payment information.
Invoices can be requested during checkout or via email after purchase.
For approved invoice payments, the amount must be settled within the specified due date stated on the invoice.
If payment is delayed, AICONIQ OÜ may pause access to digital materials or postpone service delivery until payment is received.
15.4 Delivery and Digital Access
For physical goods, shipping costs are indicated at checkout and delivery is made to the address provided.
For digital products (such as PDFs, templates, or e-books), you will receive a download link by email immediately after payment confirmation—no physical delivery applies.
Delivery times are indicative. AICONIQ Events cannot be held liable for delays due to third-party carriers or technical issues.
15.5 Right of Withdrawal (EU Consumers)
If you are an EU consumer, you have the right to withdraw from a purchase within 14 days from delivery (for goods) or conclusion of contract (for services), without giving any reason, provided that:

all packaging and accessories are intact.
You bear the cost of returning the goods.
Refunds will be made within 14 days after receiving the goods or proof of return, using the same payment method used for purchase.
Exceptions:
The right of withdrawal does not apply to:

personalised or time-specific services (e.g., event tickets, workshops on fixed dates);

services already fully performed with your consent before the end of the withdrawal period.

15.6 Refunds and Cancellations
If AICONIQ Events is unable to deliver a product or service, we will refund your order in full.

All digital files and resources offered by AICONIQ Events — including e-books, templates, workbooks, toolkits, and other downloadable materials — are protected by copyright and licensed for individual use only.
It is strictly prohibited to copy, adapt, resell, share, or make any portion of these files publicly available, whether free of charge or for payment.
Each file may contain visible or invisible digital identifiers that allow AICONIQ Events to trace unauthorized distribution.
Because of the intangible and immediately accessible nature of digital content, all sales of digital products are final and non-refundable once the purchase is confirmed or the download link has been accessed.
By completing your purchase, you expressly acknowledge and agree that your right of withdrawal under EU consumer law does not apply to digital content that is made available immediately upon payment.

15.8 Liability for Offers
While AICONIQ Events takes care to ensure accuracy in product and event descriptions, it cannot be held liable for errors, misprints, or information provided by third-party event organisers.
Responsibility for the actual execution of third-party events rests solely with the respective organiser.
15.9 Applicable Law & Dispute Resolution
These Terms of Sale, together with all related agreements and legal relationships to which AICONIQ OÜ is a party, shall be governed, interpreted, and enforced in accordance with the laws of the Republic of Estonia, without regard to conflict-of-law principles.
Any disputes arising from or in connection with these Terms shall fall under the exclusive jurisdiction of the Harju County Court (Harju Maakohus) in Tallinn, Estonia, unless otherwise required by mandatory consumer-protection laws of the buyer’s country of residence.

17. Photography & Video at Events
AICONIQ Events may capture photos and video recordings during workshops, training, and other programmes for educational, documentation, or marketing purposes.
