These Terms of Use apply to aiconiqevents.com, aiconiq.ai, and all accompanying channels, including newsletters, blogs, and social-media pages.

AICONIQ Events (“we”, “our”, “us”) is an educational and event-management company headquartered in Tallinn, Estonia.
We specialise in event strategy, training, and coaching for entrepreneurs and event professionals under our EPIC Event Framework™ and AICONIQ Academy brands.

By visiting our websites or using our services (including workshops, courses, digital downloads, and coaching sessions), you agree to these Terms of Use and our Privacy Policy.

By accepting these Terms of Use, you also consent to the processing of personal data in accordance with the Processing Regulations.

We respect your privacy and process personal data in accordance with the GDPR (EU 2016/679) and applicable national law. By using our websites or services, you acknowledge this Policy.

4.1 Data Controller
Aiconiq OÜ (d/b/a AICONIQ Events) – details above. We determine purposes and means of processing when you visit our site, register for training/events, purchase digital products, or otherwise interact with us.

4.2 What Personal Data We Collect

• Communication data: name, email, phone, social handle, and your message content.

• Customer & registration data: name, company, job title, email, phone, preferences (e.g., dietary/accessibility notes relevant to participation).

• Billing data: invoice details (name, address, VAT where applicable), payment metadata. We do not store full card numbers (handled by our payment providers).

• Supplier/partner data: business contact details, VAT, role.

• Marketing & subscription data: name, email, company, communication preferences (opt-in).

• Cookies & online identifiers: IP address, device/browser type, pages visited and similar analytics (see Section 5).
  We do not intentionally collect special-category data (e.g., health, biometric, political opinions). If you choose to provide such information, you do so at your discretion.

 4.3 Purposes & Legal Bases

• Respond to enquiries/support: Legitimate interests / pre-contractual steps.

• Manage registrations, deliver trainings/coaching, issue certificates: Performance of a contract.

• Process payments/issue invoices: Legal obligation / contract.

• Send newsletters/updates: Consent (withdrawable at any time) / Legitimate interests for existing customers (opt-out available).

• Operate, secure, and improve the website (analytics): Legitimate interests (essential) / Consent (non-essential cookies).

• Comply with laws/court orders/authorities: Legal obligation.
   

We do not engage in automated decision-making producing legal or similarly significant effects. We may perform limited profiling (e.g., segmentation for analytics or tailoring communications) but not in a way that produces such effects.

4.4 Sharing & Disclosure
We do not sell or rent your data. We share it only when necessary:

• With vetted processors (hosting, email automation, CRM, payment providers, analytics) under GDPR-compliant data-processing agreements.

• With venues/partners strictly for event logistics where needed.

• With professional advisers or public authorities where required by law or to establish/exercise legal claims.

 
4.5 International Transfers
If processing involves countries outside the EEA (e.g., U.S. cloud/email services), we rely on Standard Contractual Clauses or equivalent safeguards. Where appropriate, we implement supplementary technical and organisational measures to ensure an essentially equivalent level of protection.
 
 
4.6 Retention Periods

• Communication records: 1 year after resolution.

• Event/course participation data: 3 years after last interaction.

• Billing & accounting records: 7 years (statutory).

• Supplier/partner data: up to 5 years after cooperation ends.

• Marketing data: until you unsubscribe or withdraw consent (opt-out always available for existing-customer marketing).

• Cookies/analytics: per the lifetimes in Section 5.
  Data no longer required is securely deleted or anonymized.

 
4.7 Your Rights
Under the GDPR and applicable data-protection laws, you have the following rights in relation to your personal data:
Right of access and information
You may request confirmation of whether we process your data and receive a copy of the personal data we hold about you, together with information on how we use it.
Right to correction, erasure and restriction
You can ask us at any time to correct inaccurate data, complete incomplete data, or delete your personal data, unless legal or contractual obligations require us to keep it.
If you restrict or refuse the processing of certain data, some services or products may become unavailable.
Right to object
You may object at any time to the processing of your personal data for justified reasons.
You can also object to the use of your data for direct marketing—in which case we will stop such processing immediately.
Right to data portability
You have the right to receive your personal data in a structured, commonly-used, machine-readable format and to transmit it to another controller where technically feasible.
Right to withdraw consent
If processing is based on your consent, you may withdraw that consent at any time.
Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

Supervisory authority: You have the right to lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon), Tatari 39, 10134 Tallinn, tel. +372 682 8710, e-mail info@aki.ee. EU residents may also contact their local supervisory authority.
 
4.8 Security and Confidentiality
We implement appropriate technical and organisational measures—such as encryption, access controls, and secure storage—to protect personal data against unauthorised access, alteration, loss, or disclosure. Staff and service providers receive access on a need-to-know basis and are bound by confidentiality. No system is entirely secure—please protect your credentials and devices; you are responsible for any unauthorized use resulting from their disclosure.

4.9 Cookies & Tracking Technologies
We use cookies and similar technologies. For full details (types, purposes, consent choices, lifetimes), see Section 5 (Cookies & Analytics).
On your first visit, a banner lets you accept or manage non-essential cookies. You can also manage cookies in your browser settings. Declining non-essential cookies may affect some features but not core functionality.

4.10 Security Measures
We implement appropriate technical and organizational safeguards, including encryption, access restrictions, and regular updates, to protect your personal data against unauthorized access, loss, or misuse. Despite these measures, no system is entirely secure — users are encouraged to use strong passwords and update them regularly.

4.11 Disclosures Required by Law & Business Transitions
We may disclose data if required by law, court order, or authorities. In a reorganisation, merger, or asset transfer, your data may be transferred to the successor entity under safeguards; we will inform you where reasonably possible.
4.12 Children & Minors
Our services are intended for individuals aged 16 and above. We do not knowingly process personal data of minors. If we learn that a user under 16 registered without verifiable parental consent, we will promptly delete the account and associated data.

Our website uses essential cookies to function and optional analytics/social cookies (with your consent). On your first visit, you can accept or decline non-essential cookies. You can change preferences in your browser settings.

• Google reCAPTCHA is used to protect contact forms against spam and abuse. This tool collects limited data as described in Google’s Privacy Policy.

• Stripe may place secure payment cookies when you make a purchase via our website. These cookies support transaction validation and fraud prevention in accordance with Stripe’s privacy and cookie policies.

5.3 Types (“Levels”) of Cookies

Level 0 – Essential & Functional (cannot be disabled via our systems; no PII collection):
 

• session_id – maintains active session (session).

• cookie_consent – stores your preferences (≈ 6 months).

• payment_session (Stripe) – secure payment processing (≈ 6 months).
   

Level 1 – Functional & Analytics (aggregated, anonymous; set only with consent):
 

• analytics_aiconiq – page visits and navigation (≈ 2 years).

• pmUX – UX optimisation/testing (≈ 1 year).
   

Level 2 – Social Media & Marketing (enabled only with Level-2 consent):
 

• instagram_embed – displays Instagram content.

• linkedin_insight – anonymised website stats for our LinkedIn page.

• meta_pixel – ad performance tracking (if used).

5.4 Consent & Preferences

We use strictly necessary cookies without prior consent because they are essential for the site’s operation. For all other cookies (analytics, social media, marketing), we will first request your consent when you visit the site.

• Session cookies – deleted when the browser closes.

When you post a reaction, submit a review, or send a message via our site, your IP address may be recorded to help maintain authenticity, prevent misuse, and combat fraud. 

This helps us maintain the authenticity and integrity of user contributions and prevent postings under false identities.

In the event of suspected unlawful or fraudulent activity, or upon a lawful request from authorities, AICONIQ Events may be required to disclose the recorded IP address to competent governmental or judicial bodies.

Our website may contain hyperlinks to, or embed content from, third-party websites and platforms.
AICONIQ Events does not control and is not responsible for the content, accuracy, policies, or functionality of these external websites.
The inclusion of a link or embedded element does not imply any endorsement or partnership unless expressly stated.
We take care to reference reputable sources and to ensure that all links function correctly at the time they are added.
However, we cannot guarantee that external links will always remain available or free from interruption.
If you encounter a broken or outdated link, please let us know so we can correct it promptly.
AICONIQ Events cannot be held liable for any loss, damage, or inconvenience resulting from the use of third-party websites, their content, or any temporary technical issues affecting linked pages.

Certain areas of the AICONIQ Events website and its learning or booking modules may require user registration.
To create an account, you must complete the registration form fully and truthfully, using accurate and current information.

It is strictly prohibited to:

• Use another person’s identity, pseudonym, or temporary email address;
   

• Register multiple accounts for the same individual or organisation;
   

• Provide incomplete or false information;
   

• Register on behalf of a company or organisation without proper authorisation.
   

AICONIQ Events reserves the right to approve or refuse any registration request at its discretion, including (but not limited to) the following cases:

• You provide false, incomplete, or misleading information;
   

• You attempt to register several times under different identities;
   

• You fail to meet these Terms or have breached them previously;
   

• We have reasonable grounds to believe your registration may be improper or fraudulent.
   

Once your account is created, you will receive secure login credentials. You are fully responsible for maintaining the confidentiality of your username and password.
You agree not to share these credentials with third parties and to notify AICONIQ Events immediately if you suspect unauthorized use, loss, or disclosure of your password.

You remain responsible for all actions performed under your login credentials until we have been properly informed of such misuse.
AICONIQ Events reserves the right to reset or revoke passwords for security reasons and may hold you liable for damages arising from illegal or unauthorised use of your account.

By creating an account on our website, you consent that AICONIQ Events may reference your name, company name, or logo as a participant, client, or collaborator for promotional or testimonial purposes, unless you explicitly request otherwise in writing.

Electronic messages exchanged between your registered account and AICONIQ Events shall be deemed official and legally valid communications. Such notifications are considered effective upon successful electronic transmission, even if not opened or displayed by the recipient.

When you upload, publish, or share any materials through the AICONIQ Events website or associated platforms (including text, images, videos, graphics, logos, testimonials, or other files), you are fully responsible for that content and its accuracy.

You must ensure that all materials you provide are lawful, appropriate, and do not violate any third-party rights. This includes—but is not limited to—copyright, trademark, portrait, data-protection, or contractual rights.

You agree that:

• All materials you submit are accurate, free from viruses or defects, and suitable for online publication.
   

• You hold all necessary rights, permissions, or licenses to publish and share the content.
   

• Your uploads do not contain illegal, offensive, defamatory, misleading, or discriminatory material.
   

• You are solely responsible for the content of any linked webpages, files, or related materials.
   

You indemnify and hold harmless AICONIQ Events against any third-party claims arising from your uploaded content, including claims for intellectual-property infringement, privacy violations, or damages caused by malware or defective files.

All content you upload remains your property.
However, by submitting materials, you automatically grant AICONIQ Events a non-exclusive, worldwide, royalty-free license—for the duration of the applicable intellectual-property rights—to use, reproduce, adapt, publish, distribute, and display that content for legitimate business, educational, or promotional purposes, including on websites, social-media channels, and marketing materials.

By entering into any agreement with AICONIQ Events (including free services such as directory listings or profile pages), you also grant permission for AICONIQ Events to reference your company name, trade name, and logo as a client, participant, or partner in communications or online advertising campaigns, unless you withdraw consent in writing.

You remain solely responsible for obtaining all relevant rights and licences and for complying with applicable laws (e.g., consumer protection, advertising, or contest regulations).
AICONIQ Events reserves the right to remove any content at its discretion if it violates these Terms or any applicable law.

AICONIQ Events may from time to time use AI-driven tools and automated systems to enhance its services or provide users with optional AI-based features, such as content generation, learning assistance, analytics, or customer-experience optimization.

When you interact with these tools, we may collect non-personal telemetry and diagnostic data (for example, feature usage frequency, anonymized error logs, or performance metrics).
This information helps us monitor quality, improve functionality, and develop new features.
 

All aggregated or anonymized analytical data generated through such usage remains the exclusive property of AICONIQ Events, and may be used at our discretion for legitimate business purposes, including research, product improvement, and AI-model training.

By using our AI-driven tools, you consent to the processing of:

• data generated through your interaction with AICONIQ Events’ AI features; and

• data you voluntarily provide while using these tools (for example, text inputs or uploaded non-personal files).
   

This data may be used for:

• product development and service optimization;

• algorithm evaluation and quality assurance;

• creation of statistical or analytical models; and

• AI-model training to improve AICONIQ Events’ internal systems and user experience.
   

Where technically and legally feasible, personal data fields are excluded or anonymized before any such processing or training.
AICONIQ Events does not use your identifiable personal data to train public or third-party AI models.

Users who hold a premium or contractual relationship with AICONIQ Events may request to opt out of data usage for AI-training purposes by contacting us at privacy@aiconiqevents.com.

When you post comments, reviews, photos, or any other material on the AICONIQ Events website or related platforms, you remain solely responsible for the content you share and for any consequences arising from it.
This also applies to information you submit through our contact forms or share with partners via our platform.

11.1 Acceptable Behaviour

You agree not to post or transmit any content that is:

• unlawful, aggressive, threatening, abusive, defamatory, vulgar, obscene, racist, misleading, or otherwise inappropriate;
   

• harmful to the reputation of individuals, companies, or AICONIQ Events itself;
   

• unrelated to the context of the discussion or irrelevant to the topic.
   

You must treat other users with respect and refrain from using offensive, insulting, or profane language. Do not post false, incomplete, or misleading information about other users or third parties, nor any content intended to damage their reputation or goodwill.

11.2 Privacy & Personal Data

You may not publish personal information (such as phone numbers, email addresses, or home addresses) about yourself or others in comments or reviews.
If you choose to share such information publicly, you do so at your own risk. AICONIQ Events is not responsible for any unwanted communications or spam you may receive as a result.

11.3 Authentic Reviews

You confirm that any review you submit:

• reflects your genuine personal experience;
   

• is written voluntarily and without compensation;
   

• is independent, with no personal or financial connection to the business or individual reviewed;
   

• can be substantiated if requested (e.g., with proof of participation or invoice).
   

AICONIQ Events maintains a zero-tolerance policy toward fake or misleading reviews and may suspend or delete accounts found to be in violation.

11.4 Prohibited Promotions & Advertising

You may not use our website or contact forms for advertising, commercial solicitation, or promotion of products or services without prior written consent from AICONIQ Events.
Contact forms for event venues or training requests may only be used for their intended purpose—such as obtaining quotes or information—not for general promotion or unrelated messaging.

11.5 Copyright & Image Rights

You may post only content for which you hold the copyright or have obtained explicit permission to publish.
This includes photos, images, and visual elements that appear automatically when sharing links.
Posting photos of other people or companies without their consent is strictly prohibited.

11.6 Moderation & Enforcement

AICONIQ Events may moderate or review user-generated messages after publication.
We reserve the right, at our sole discretion, to edit, hide, or remove any content that is deemed unwanted, inappropriate, unauthorised, or inconsistent with these Terms or applicable law.
In serious or repeated cases, AICONIQ Events may restrict or terminate your access to commenting or reviewing features.

The AICONIQ Events website and all services offered through it are provided on an “as is” and “as available” basis.
While we take great care to maintain accuracy, functionality, and reliability, we make no express or implied warranties regarding:

• the continuous availability of the website or tools,
   

• suitability for a particular purpose, or
   

• completeness, accuracy, or timeliness of content.
   

All materials, articles, and resources are subject to change or removal without prior notice.
AICONIQ Events is not liable for any loss or damage—direct, indirect, material, or immaterial—resulting from the use, inability to use, or reliance on website content, whether correct or incorrect.

We disclaim any responsibility for content, software, links, or applications uploaded, shared, or posted by users or third parties.
AICONIQ Events is likewise not liable for any loss or damage arising from the removal, moderation, or non-storage of such content.

12.1 Service Availability

AICONIQ Events strives to make its website and tools accessible 24 hours a day, 7 days a week.
However, due to the technical nature of online services—including the need for maintenance, updates, and external hosting dependencies—uninterrupted access cannot be guaranteed.

Temporary interruptions, slowdowns, or service errors (for example, due to server failure, software bugs, malware, or external attacks) are inherent to Internet-based systems and shall not constitute a defect or grounds for compensation.
We will act promptly to restore service in justified cases of interruption or suspension.

AICONIQ Events is not liable for cancellations, delays, or data loss caused by such technical events, nor for any direct or indirect damage to third parties regardless of cause.

12.2 Moderated & Third-Party Content

We moderate articles, news, and user submissions to the best of our ability.
However, the responsibility for published content lies with the author or contributor.
All such content is offered without guarantee of accuracy, completeness, or compliance with third-party rights.
AICONIQ Events does not warrant that posts, reviews, or articles are free from infringement or errors.

If you believe that any content violates applicable law, infringes rights, or conflicts with public order, please contact us immediately at privacy@aiconiqevents.com so that we can take appropriate action.

To the fullest extent permitted by law, AICONIQ Events’ total liability for any claim related to website use, content, or service availability shall not exceed €100 per incident, except in cases of fraud or deliberate misconduct.

AICONIQ Events reserves the right, at its sole discretion, to deny, suspend, or terminate a visitor’s or user’s access to the website or any of its services at any time, without prior notice, if deemed necessary to protect the integrity of the platform or the interests of other users.

Access may be refused or withdrawn, including but not limited to the following circumstances:

• The user or visitor fails to comply with one or more provisions of these Terms and Conditions;
   

• The user has previously violated these Terms and Conditions;
   

• AICONIQ Events has reasonable grounds to believe that the user may breach the Terms again in the future;
   

• The user’s behaviour, communication, or uploaded material is deemed unlawful, fraudulent, abusive, misleading, or otherwise inconsistent with the values and mission of AICONIQ Events;
   

• Any other legitimate reason for which AICONIQ Events may reasonably conclude that continued access would pose a risk to its operations, reputation, or other users.
   

AICONIQ Events may also take technical or legal measures—including account suspension, deletion of data, or restriction of specific functionalities—to enforce this policy.
Such actions shall not entitle the user to any form of compensation or refund.

In the event of force majeure, AICONIQ Events shall not be held liable or required to fulfil its obligations, nor shall any delay or failure to perform constitute a breach of contract.
In such circumstances, AICONIQ Events may suspend its obligations for the duration of the event or, if performance becomes permanently impossible, terminate the contract without liability.

Force majeure refers to any circumstance beyond the reasonable control and will of AICONIQ Events that prevents, delays, or substantially hinders the performance of its obligations, in whole or in part.
Such circumstances may include, but are not limited to:

• natural disasters, fire, or flooding;
   

• strikes, lockouts, or labour disputes;
   

• power failures or utility interruptions;
   

• operational or technical breakdowns, server or system errors, or network outages;
   

• (D)DoS attacks, hacking, or cybersecurity incidents;
   

• pandemics, epidemics, or governmental restrictions;
   

• unavailability or failure of telecommunications, internet, or third-party hosting systems;
   

• and any other event of comparable nature beyond AICONIQ Events’ reasonable control.
   

AICONIQ Events will make every reasonable effort to mitigate the consequences of such events and to restore service as soon as reasonably possible.

These Terms of Sale apply to all products and services offered by AICONIQ Events, including paid and free materials such as workbooks, e-books, templates, digital downloads, coaching sessions, and event registrations.
By placing an order on our website or via our booking channels, you acknowledge that you are at least 18 years of age (or acting with parental consent) and that you agree to these Terms of Sale.

15.1 Offer and Product Information

All products and services are described as accurately as possible.
Images and descriptions serve illustrative purposes and do not create binding commitments.

Prices displayed online include VAT unless stated otherwise. Prices for business-to-business services (e.g., workshops for companies or advertising opportunities) are shown exclusive of VAT.

All offers are valid as long as they appear on our website or for the period indicated in the offer materials.

15.2 Orders and Agreement

A binding contract is concluded when AICONIQ Events confirms receipt of your order by email or through the website interface.
We may refuse an order or attach conditions (such as pre-payment) in justified cases, including large orders, prior non-payment, or suspicion of misuse.

15.3 Prices and Payments

Prices remain valid during the indicated offer period, except for adjustments required by VAT changes or applicable legislation.
All prices are shown in euros (€) and include VAT where applicable.

Payments are processed securely through trusted third-party providers such as Stripe or PayPal.
All transactions are encrypted using SSL technology to protect your personal and payment data.
AICONIQ OÜ does not store or have access to your full credit card or payment information.

Invoices can be requested during checkout or via email after purchase.
For approved invoice payments, the amount must be settled within the specified due date stated on the invoice.
If payment is delayed, AICONIQ OÜ may pause access to digital materials or postpone service delivery until payment is received.

15.4 Delivery and Digital Access

For physical goods, shipping costs are indicated at checkout and delivery is made to the address provided.
For digital products (such as PDFs, templates, or e-books), you will receive a download link by email immediately after payment confirmation—no physical delivery applies.
Delivery times are indicative. AICONIQ Events cannot be held liable for delays due to third-party carriers or technical issues.

15.5 Right of Withdrawal (EU Consumers)

If you are an EU consumer, you have the right to withdraw from a purchase within 14 days from delivery (for goods) or conclusion of contract (for services), without giving any reason, provided that:

• the product has not been used beyond what is necessary to evaluate it;
   

• all packaging and accessories are intact.
   

You bear the cost of returning the goods.
Refunds will be made within 14 days after receiving the goods or proof of return, using the same payment method used for purchase.

Exceptions:
The right of withdrawal does not apply to:

• digital products (e.g., e-books, downloads) once access or download has begun;
   

• personalised or time-specific services (e.g., event tickets, workshops on fixed dates);
   

• services already fully performed with your consent before the end of the withdrawal period.

15.6 Refunds and Cancellations

If AICONIQ Events is unable to deliver a product or service, we will refund your order in full.

All digital files and resources offered by AICONIQ Events — including e-books, templates, workbooks, toolkits, and other downloadable materials — are protected by copyright and licensed for individual use only.

It is strictly prohibited to copy, adapt, resell, share, or make any portion of these files publicly available, whether free of charge or for payment.
Each file may contain visible or invisible digital identifiers that allow AICONIQ Events to trace unauthorized distribution.

Because of the intangible and immediately accessible nature of digital content, all sales of digital products are final and non-refundable once the purchase is confirmed or the download link has been accessed.
By completing your purchase, you expressly acknowledge and agree that your right of withdrawal under EU consumer law does not apply to digital content that is made available immediately upon payment.

While AICONIQ Events takes care to ensure accuracy in product and event descriptions, it cannot be held liable for errors, misprints, or information provided by third-party event organisers.
Responsibility for the actual execution of third-party events rests solely with the respective organiser.

15.9 Applicable Law & Dispute Resolution

These Terms of Sale, together with all related agreements and legal relationships to which AICONIQ OÜ is a party, shall be governed, interpreted, and enforced in accordance with the laws of the Republic of Estonia, without regard to conflict-of-law principles.

Any disputes arising from or in connection with these Terms shall fall under the exclusive jurisdiction of the Harju County Court (Harju Maakohus) in Tallinn, Estonia, unless otherwise required by mandatory consumer-protection laws of the buyer’s country of residence.
